May/June Updates
Fire System Upgrade
The Board is allowing additional competitive bids and reaffirmed the intent to proceed with bidding based on the approved design. Additional bids may be submitted by a set deadline prior to the next Board meeting, and all proposals must align with the approved design plans. The bidding process, permitting, and scheduling for fall 2026 project timeline will be reviewed at the next Board meeting.
Ev Charging Parking Structure
The Board reviewed two proposals for the installation of EV chargers in the parking structure. The Board agreed to invite both vendors to the next Board meeting to present their proposals, including installation plans and operational details.
Bridge Painting
Three proposals were presented to the Board to review The Board approved moving forward with the project, which includes painting the entire bridge, including the underside. The project started on June 1st.
New Patrol Vendor
The Board has chosen a new patrol vendor and their services began June 1st.
Annual Meeting
The Annual Meeting is scheduled for August 22 at 5:00 PM. The Board approved vendors for the annual meeting to include: rental equipment, catering, and an ice cream truck.
Safety Reminder
Management has received reports of golf carts speeding on Island Avenue and being driven on sidewalks by contractors and guests. Please remember golf carts must be operated at safe speeds at all times, and sidewalk driving is strictly prohibited. Many of these carts appear to be operated by non-residents. Please ensure your guests and visitors follow all community rules. Let’s work together to keep Bay Island safe for everyone.
April Island Updates
Fire System Upgrade
The Board reviewed the revised design for the fire line project that was approved in February. The project is expected to begin after the moratorium and will take 6-8 weeks.
Parking Garage Break-In
The Board of Directors has reviewed the break in that occurred in February and have approved necessary steps to enhance security measures to the parking garage.
Beach Sand Sifting/Excavating
The Board of Directors has approved a proposal to sift and clean the beach sand before the summer season.
EV Charging- Parking Structure
The Board of Directors has asked Management to look into what it will take to be able to provide EV Charging to residents in the parking garage. The approval process is expected to take 6 months to 1 year.
Safety Reminder: Golf Carts on Bay Island
Please remember that golf carts need to be driven responsibly and at safe speeds; driving on sidewalks is strictly prohibited. For everyone’s safety, please slow down and remind your guests of these rules when they visit.
Pet Reminder
Please remember to promptly pick up after pets to insure the Island lawns stay clean. Should you find yourself without a bag, the Resident Services Coordinator has a small supply in the Cottage for Shareholder use. The Landscape vendor does not pick up Tuesday-Friday. Waste bags should be disposed of in the appropriate trash cans and not left on walkways.
Construction Moratorium
The construction moratorium for the Island is June 15th- September 8th. Shareholders need to advise the Board of Directors of any necessary construction extensions.
February Updates
Approved Revisions to Wedding Times & Architectural Guidelines
Following the Board Meeting on January 29, 2026, the revised Event Times and Architectural Guidelines have been officially approved. The final versions of both documents are attached.

Tree Trimming Update
V&A Tree Services has been contracted to complete the remaining common area tree trimming and should be done this week.
President’s Day Holiday – Island Staff & Contractor Schedule
Please remind your contractors that Monday, February 16th is a federal holiday (President’s Day). Workers will not be permitted to work on the Island that day and should plan to work Tuesday through Friday instead next week.

Island Staff Schedules:
- The Janitorial Crew will observe the President’s Day holiday on Monday, February 16th. Trash pickup will resume on Tuesday and Friday next week.
- Bemus will also be on-site Tuesday through Friday.
- RSC Kevin Miser will also be on the Island Tuesday through Friday.
Fireline Project – Moves Forward
The Fireline ballot opening was held on January 23.
Of the 21 ballots received, 18 were valid and counted, with 11 in favor and 7 opposed. Fireline has been approved. The Board will determine next steps following the upcoming meeting to review the new design
plan.
Garage Spalling
Management is currently soliciting proposals to repair the garage spalling and ensuring that the proposals received are comparable to the scope of work.
Cutting Garden
Shareholders and your family are welcome to pick flowers for personal use, but please share clippings across the gardens so everyone can enjoy a variety of blooms. Limit the quantity taken at one time.
Cutting Garden Locations:
- North Tip: Rose Garden by the tennis courts
- South Tip: Two planters near the southwest seawall
2026 Updates
Here are the latest updates and reminders for our community:
1. Fireline Ballot Meeting
A meeting regarding the Fireline ballot voting and ballot opening will be held on Friday, January 23rd at 9:00 AM via Zoom. Residents are encouraged to log in promptly. The zoom meeting information will be provided by email or on your Resident Portal.
2. Boat Information Updates
If you have a boat on your Bay Island dock and your information has changed since last year, please complete the required form and provide the current registration. If your information has not changed or you do not have a boat, no action is needed. All updates are due Monday, February 2nd, 2026. Please email changes to bayisland@actionlife.com
3. Garage Electrical Work
An electrician will be working in the garage on the on 1/9/26 and 1/10/26. Please use caution in these areas.
4. Holiday Light Removal & Palm Tree Repair
- Holiday lights in the common areas are being removed. If lights were installed on your lot by Kast Lighting, please schedule removal directly.
- Repairs to a common-area palm tree system will take place tomorrow morning. The work was delayed due to unforeseen circumstances.
5. Handcart and Contractor Cart Feedback
Residents are invited to provide feedback on the use of handcarts and contractor carts. This includes a vote on whether contractors may use the Island handcarts in the future. Your input will guide Board discussions in the upcoming January meeting. Please reference the recent email for the survey link.
